Introduction

Tired of trying to keep track of all your Real Estate related expenses?  Do you need an easy way to determine the values for your IRS Schedule C?  RExpense is a Real Estate expense tracking system.  It also works for other independent contractors who need to track individual expenses.  RExpense allows you to capture expense information on categories that you can define.  RExpense comes with the IRS Schedule C categories already entered. 

 

You can track or view expenses by category, by client, and by date.  With RExpense you can keep track of the details of all your Real Estate related expenses.  The full version or RExpense provides a reporting capability that allows you to print an expense detail report, expenses by client, and expenses by category.  The expense by category report is very useful when filling in your IRS Schedule C on your income tax return.

Prerequisites and Requirements

This software product requires a PalmOS® version of 3.5 or better.  Please ensure that this requirement is met before attempting to install this software.  If you are uncertain which version of the PalmOS® you are using, please refer to your PDA documentation or visit our software support forum.

 

Installation

If you are unfamiliar with installing files on your PDA you may want to refer to your PDA documentation for detailed instructions.  This software is distributed as a single file in WinZip format.  WinZip is a utility that compresses multiple files into one file.  You must have the WinZip utility installed on your personal computer to open the distribution file.  If you do not have WinZip installed you can download it for free from download.com .

 

To install the software follow the steps below.  The install process automatically moves all of the required PDA components from the distribution WinZip file to the Palmâ Desktop Install Tool.  A HotSyncâ is required to complete the installation process.  Additional information is available on our Software Support Forum under General Information and Discussion.

 

1.      Open the distribution (.zip) file using WinZip.

2.      Click on the “Install” button on the WinZip tool bar

3.      Run HotSyncâ to install the software on your PDA.

 

Registration

RExpense is distributed in a demonstration mode with limited time use.  Purchasing the product and then registering it, activates the full product and eliminates the Trial Mode indicator screen.  Each copy of the product is registered to a single device.  After you have purchased your product, you will need to provide us your HotSyncâ ID.  If you provided your HotSyncâ ID to the site you purchased the product from, it should be provided to us with your order.

 

Once your purchase has been verified and we have received your HotSyncâ ID we will generate a registration code, which will be emailed to you along with the HotSyncâ ID you provided us.  To register the product, tap the Register button on the Trial Mode screen.  The Registration Screen will show your HotSyncâ ID, which must “exactly” match the HotSyncâ ID provided to us.  Enter the registration code “exactly” as provided.  Successful registration will be confirmed.

 

Using RExpense

The RExpense program consists of several screens.  Instructions for each unique screen are presented below.  All screens have the following common features:

Welcome Screen and Menu

 

Select Expenses Screen

This screen is used to select the specific set of expenses you would like to work with.  You must supply a client name, expense category, starting date, and an ending date.  The date fields are compared to the Date field of the expense.

 

 

Expense List Screen

This screen is used to display a summary of the records you have selected.  A sum of the expenses selected is also displayed.  To edit a particular record, tap on the individual record.

 

 

Expense Screen

The Expense Screen is used to edit the detailed information about the expense.  The Date field is required.  The Date field is used to compare against the Start Date and End Date fields from the Select Expenses Screen.

 

 

 

Tips and Tricks

 

Below are a few tips and tricks for using the RExpense program more effectively and efficiently.

 

1.      Client List – Add at least one entry to the Client List before attempting to add an expense.  The Client List can be accessed from the Welcome Screen or the menus.

2.      Expense Categories – RExpense comes with a table of expenses categories that match the IRS Schedule C categories.  You may add your own categories if you like.  You can access the Expense Categories from the Welcome Screen of the menus.

3.      Active Field Labels – Any field ending in “*” is active.  Tap on the field label (not the field itself) to active the related function.  For example, if you tap on the label Category* the expense category editor will be activated.

4.      Mileage - On the Expense screen enter a number in the miles field and tap Compute $.  The standards mileage deduction for the year specified in Date will be used to calculate the Amount field.  The Category of the expense will also be changed to Mileage.

 

Reports

RExpense allows reports to be printed on your PC using the backup copy of your RExpense database located in your Hotsync® backup directory.  This capability is only available in the full version (not the demo version) of the product.  To use the RExpense reporting facility:

 

1.      Copy the compiled reports module (RExpenseReports.tbc) distributed with this product into the Hotsync® backup directory on your PC.

 

2.      Download and install the current version of the TBViewer© program from http://www.sandsusa.com/software/tbviewer.zip .  The TBViewer© program is FREE.  Make sure you read the documentation provided with TBViewer©.

 

3.      Start the TBReports© program and open the compiled report that you copied into the Hotsync® backup directory.

 

Please note that reports are run on the backup of the RExpense database on your PC.  Make sure you Hotsync® your PDA before running a report to ensure the backup on your PC has the most current data from your PDA.
